Co-ordinate a portfolio

The purpose of this competency is to achieve the goals of the co-ordination process,  i.e. to:

  • consolidate information from the component projects and programmes to understand the portfolio as a whole;
  • monitor the performance of the portfolio against its objectives;
  • manage the inter-relationships between projects and programmes.

Performance criteria

You must be able to:

  1. co-ordinate governance across the component parts of the portfolio
  2. consolidate and co-ordinate plans across the portfolio
  3. manage overall resource and financial capacity
  4. assure the quality of the process

This competency applies to the whole management team as responsibility for complex co-ordination will be spread across different roles.

The portfolio manager will have accountability for the performance criteria.

A performance criterion for the portfolio manager that covers the definition of supporting roles and consequent delegation could be added.

The co-ordination of projects is clearly something that portfolio management has in common with programmes. This competency could be adapted for use in a programme management role - perhaps a member of a PMO responsible for assisting the programme manager with the mechanics of co-ordinating multiple projects.

Knowledge and understanding

You need to know and understand:

  1. the goals of the process
  2. the typical activities that make up the process
  3. the context of the work and its impact on the process
  4. tools and techniques for normalising data
  5. effective methods for summarising and consolidating progress information
  6. how to manage complex inter-relationships between multiple projects and programmes
  7. how assurance applies to the process
